A complete GoHighLevel system for a residential electrical contractor, built to manage estimate requests from initial inquiry through follow-up, estimate acceptance, and job completion.

The goal was to build a practical CRM system for handling incoming estimate requests. Instead of relying on manually tracking leads and follow-ups, the setup keeps inquiries organized in one pipeline and automates communication at key stages of the process.

What I Built

A complete GoHighLevel setup covering lead capture, CRM management, follow-ups, and the workflows needed to move inquiries through the customer journey.

Landing Page & Lead Capture

A service landing page and estimate request form that captures contact details, service needs, urgency, and project information.

CRM & Pipeline

A custom sales and job pipeline with contact and opportunity fields to organize inquiries and track each job from initial request through completion.

Workflow Automations

Automated confirmations, lead and estimate follow-ups, internal notifications, and stage-based actions triggered as opportunities move through the pipeline.

Opportunity Management

Internal notifications and status handling for active leads, won opportunities, completed jobs, and lost inquiries.

How It Works

The system starts when a homeowner submits an estimate request. From there, form submissions and pipeline stage changes trigger the appropriate automations as the opportunity moves from inquiry to completed job.

Estimate Request → New Inquiry → Contact Attempted → Assessment Scheduled → Estimate Sent → Job Scheduled → Job Completed

Opportunities remain Open while the estimate is being handled, change to Won when the estimate is accepted and the job is scheduled, and can be marked Lost when the customer declines or does not respond after follow-up.

New Estimate Request

Trigger: Estimate request form submitted

The form creates or updates the contact and automatically creates an Open opportunity in the New Inquiry stage, with the customer's service request and project details attached to the opportunity.

The customer receives an automatic confirmation email, while the team receives an internal notification to review and follow up on the new inquiry.

Lead & Assessment

Trigger: Opportunity stage changes

After the team attempts contact, the opportunity moves to Contact Attempted. If the homeowner does not respond, an automated follow-up sequence runs before the opportunity is marked Lost.

When an assessment is arranged, the opportunity moves to Assessment Scheduled and the customer receives a confirmation.

Estimate & Follow-Up

Trigger: Opportunity moves to Estimate Sent

Once an estimate is prepared, its amount is added as the Opportunity Value and the opportunity moves to Estimate Sent.

If the customer does not respond, automated follow-up emails are sent at set intervals. The sequence stops when the opportunity progresses, while unresponsive opportunities are eventually marked Lost.

Job & Customer Follow-Up

Trigger: Opportunity moves to Job Scheduled or Job Completed

When an estimate is accepted, the opportunity moves to Job Scheduled and is marked Won. The customer automatically receives a job confirmation.

After the work is completed, moving the opportunity to Job Completed triggers a thank-you email followed by a review request.
